Before Sending the RFQ

For PLC modules, alarm panels, HMI displays, sensors and control cabinet parts, the item name alone is rarely enough. The quotation becomes much stronger when the RFQ includes maker references, nameplate photos and the shipboard application.

Start with the exact identification data

Send the maker, model, full order code, serial number and any hardware or firmware version shown on the module. If the old part is still installed, include photos of the front label, side label, terminal area and complete control cabinet.

Add the electrical and system context

Voltage, signal type, communication protocol, connector style and panel position can decide whether a replacement is usable. Mention whether the part belongs to alarm monitoring, valve remote control, main engine remote control, boiler control or navigation equipment.

Clarify timing and acceptable options

For urgent vessel schedules, state the required delivery port, ETA and whether new, refurbished or compatible alternatives are acceptable. This lets suppliers separate fast options from safer but slower factory routes.
