Port Delivery Checklist for Marine Spare Parts and Ship Stores

A correct spare part can still miss the vessel if port delivery details are unclear. Delivery instructions should be confirmed as early as the item itself.

Port delivery

Before Sending the RFQ

Marine supply is time-sensitive. Warehouse, shipyard, agent and direct vessel delivery each need different information, so the RFQ should include the receiving route and contact details early.

Confirm who receives the goods

State whether goods should be sent to a ship agent, warehouse, shipyard, forwarder or directly to the vessel. Include contact person, phone number, address and receiving time window.

Prepare packing marks and documents

Packing marks should match the vessel, order and receiving party. Mention whether invoice, packing list, certificate, safety document or other paperwork is required before dispatch.

Plan around vessel ETA

Share vessel ETA, ETD, berth information and urgency level. If the order includes critical technical spares and ordinary stores, separate them so the urgent lines can move first.

FAQ

Common Questions

Why provide both ETA and ETD?

ETA shows when delivery can start, while ETD shows the deadline. Both matter when arranging urgent port-call supply.

Should technical spares and stores be delivered together?

They can be consolidated, but urgent technical spares are often easier to prioritize when listed separately.
